The Administrative Assistant Coordinator position is a crucial role on the team and is responsible for all administrative duties within our Manchester, NH Headquarters.
JOB DUTIES:
DAILY-
- Answer high-volume phones in a friendly, warm manner
- Record notes from every client conversation in the CRM
- Maintain an organized, compliant, and efficient e-filing system
- Sort and distribute all incoming mail
- Assist with copying or scanning as requested by the team
- Assist with sorting of company bookkeeping and handle incoming checks, financial statements per direction of Office Manager; audit individual invoices that come into the firm and distribute to proper parties
- Assemble tax returns
- Assist our transfer and service specialist with fax confirmations & follow-up phone calls to appropriate companies, as needed
- Mail all outgoing correspondence
- Schedule advisors’ appointments when necessary
- Greet incoming clients and prospective clients in a professional manner, be sure each guest has a full client experience
- Present guests with a menu upon arrival, serve beverages and snacks
- Run office errands as necessary
- Scan statements for service team
- Scan all new policies that come in and save to respective e-folders
- Partner with Office Manager to ensure all clients receive a top-notch experience during all firm interactions, internally or externally
- Ensure all beverage and snack stations around the firm are well presented and always stocked
- Assist Office Manager as needed/requested with various administrative duties
QUARTERLY-
- Assist with the mailing of client update reports and mailings
- Run and manage requested client/administrative reports
KNOWLEDGE, SKILLS, & ABILITIES:
- Tax experience a plus, though we are willing to train
- Proficient phone skills
- Command of the English language and grammar
- Experience working in a fast-paced environment
- Ability to prioritize and work with a demanding team

Job Type: Full-time, In Office
Salary: $35,000.00 – $50,000.00 per year
